What you'll achieve: Log when a scheduled weekly block or duty post did not happen, and see patterns
Staff can log their own items. Their Missed page is a short list (log and history), without school-wide patterns or CSV. Office and duty leads can log for anyone, confirm suggestions, and review school-wide patterns.
One tap (staff)
- Open My schedule.
- Pick the day (including last week) in the week strip.
- On that duty or weekly block, choose Did not happen, then confirm. That saves with reason Other.
- Optionally pick a reason (pulled away, cover, absence, meeting, other) and a short note. You can skip this.
- Use Undo if you logged by mistake.
Log for someone else
- Open Missed work.
- Choose the date, person, and scheduled item.
- Choose Did not happen.
Suggested misses
When someone is assigned to overlapping cover, SchoolRota may suggest that their weekly block did not happen. If you remove someone from a published duty, it may suggest that duty did not happen.
Suggestions never save as confirmed until a duty lead or office user confirms. Dismiss a suggestion if the work did happen.
This is separate from absences, unfilled posts on Today, and missed lunch breaks.
Patterns
The Missed work page shows a session delivery table for weekly blocks: planned, missed and ran counts by the name you used (for example ELSA session, Thrive session). Inset and closure days are left out, and dates after today are not counted yet. It also shows counts by person, by item label, by reason, by weekly-block kind, and by week. Filter by kind (for example intervention) and share the URL. Download the log CSV, or download session delivery as a separate CSV. Analytics also has a short missed-work teaser, including awaiting-confirmation counts and the top session names.
SchoolRota records staff time that did not happen. It does not track which pupils attended or missed a session.
On Today, an interventions card lists blocks for the selected day or operating week, clash counts, confirmed misses, and suggestions you can confirm or dismiss. Staff see their own blocks only.
Weekly email
Admins can send a branded Friday (or chosen weekday) report from Notifications → Automatic email settings. It covers the operating week the send day falls in, and reports interventions only unless you switch it to all missed work. Recipients come from the Weekly missed work notification rule (Owners and Admins on new schools). Empty weeks send nothing. Weeks with only suggestions still send, so the data can be confirmed. Quiet hours can hold a late-Friday send until digest time. See Notification rules.
Assistant
Duty leads and admins can ask chat to list, summarise, log, update, undo, confirm, or dismiss missed work. Pass commitmentKind (for example intervention) to match the Missed work filter. list_weekly_blocks lists which interventions (or other kinds) run on a weekday. Staff without chat access use My schedule. Chat cannot configure the weekly email: use Notifications, then search the docs.
