Before you begin

• A school or trust email you can open (personal inboxes such as Gmail are not accepted)
• Your preferred portal address (letters and numbers only, for example riverside)

UK schools can sign up online without contacting us. United Kingdom is currently the only signup country. Data is hosted in London and UK subscriptions are priced in GBP.

Open the signup page

Go to schoolrota.com/signup or use Start your 30-day free trial from the marketing site.

No card is required. Plan choice happens later in Admin.

Fill in your details

1. Enter the school name.
2. Confirm the country (United Kingdom). Records are stored in London.
3. Accept or edit the suggested portal address.
4. Enter a school or trust email.
5. Tick the terms box. Only someone with authority to act for the organisation should do this.

Select Email me a verification link. The trial has not started yet.

Confirm your email and set a password

1. Open the message from SchoolRota. Opening the link does not start the trial (mail scanners are harmless).
2. Create a password.
3. If the terms were updated after you submitted, accept the current version.
4. You are signed into the school portal. Local-password owners enrol an authenticator first, then open guided setup.

The 30-day clock starts when you create that password. You can add up to 500 active staff during the trial. Paid-cost extras such as SMS stay off.

After the trial

• Open Admin → Billing when you are ready. Save my card is the usual route. There is no automatic charge.
• During the trial, saving a card keeps the remaining free days. The first charge is on the trial end date. After expiry, checkout charges immediately.
• If finance cannot pay by card, use Request a purchase order on the same page. Invoice billing is annual at the monthly list price, with no card annual saving. Schools above the self-serve staff bands receive a custom annual quote. Sending the request does not restore editing; SchoolRota replies with the quote, next steps, and when access can be restored.
• Reminder emails at 7 days, 3 days, on the day, and twice after expiry open Billing directly.
• If the trial ends without a plan, existing users can still sign in, view authorised data, and export. Editing, publishing, invites and automatic emails pause.
